Office Administrator

Salt Edge is a global leader in open banking, providing secure and compliant APIs that connect financial institutions, lenders, and fintechs to customer financial data. Our Chișinău office is a key hub for engineering, operations, and administrative support. We are seeking a highly organized and people-oriented Office Administrator (Office Manager & HR Assistant) to help maintain smooth office operations and support our growing team.

Key Responsibilities

Office Administration:

  • Ensure smooth daily office operations and maintain a clean, organized workspace;

  • Manage supplies, vendors, equipment, deliveries, and office logistics;

  • Coordinate maintenance, meeting rooms, common areas, and onsite events;

  • Greet visitors and support onsite interviews;

  • Ensure adherence to office policies.

HR Support:

  • Assist with onboarding/offboarding and employee documentation;

  • Maintain HR files in line with internal policies and local regulations;

  • Support preparation of HR documents and respond to employee admin requests;

  • Contribute to employee experience and maintain confidentiality.

Finance & Operations:

  • Prepare expense reports and track office budgets;

  • Coordinate invoices and payments with accounting;

  • Manage petty cash and assist with procurement.

Required Skills & Qualifications

  • Proven experience in Office Administration, Office Management, HR support, or similar roles.

  • Excellent organizational, time-management, and multitasking abilities.

  • Strong communication skills in Romanian, Russian, and conversational English.

  • Solid understanding of HR processes and basic knowledge of Moldovan labor legislation (a strong advantage).

  • Proficiency with Google Workspace (Docs, Sheets, Calendar), MS Office, and basic office equipment.

  • Discretion and ability to handle confidential information professionally.

  • Proactive attitude, problem-solving mindset, and strong attention to detail.

  • Friendly and positive personality, with a genuine interest in helping people.
